Open-DocumentLibrary will automatically recognize a rich media, and it will automatically add an additional icon that when clicked
will open and play the media file as shown in the picture below.
The size of the lightbox (the area where the media is displayed) is configurable, so it can be adjusted to your needs. The media rendered in the display area will also be scaled respecting aspect ratios.
To support this new functionality, we have also created a new layout (as shown in the picture), that will show a green play button in a frame when the media is playable. When not, the button will be grayed out.
This new layout can be selected from the list of layouts in the module settings.
The media gallery functionality is enabled by default, and it can also be disabled if not desired.

You can define Folders in a hierarchical way and as many levels deep as you like.
The folders you create will be presented to the users in a way similar to the familiar
Windows Explorer format and interface.
You will associate a document to a folder, and decide what folders (and what documents
inside those folders) a user and or user role can see or not see.

You can define Categories in a hierarchical way and as many levels deep as you like.
Presented as a tree structure to the user, categories can help you to organize your
documents by different areas of interest.
You can associate a document to as many categories you need, and decide what categories
(and what documents inside those categories) a user role can see or not see.
By assigning a document to one or multiple categories, you upload your document
once, but list it multiple times.

Once your documents/files are organized in folders and categories, you can control what users/roles can access those folders/categories. Access rights are not limited to viewing. An admin user can specify a number of rights that range from view to edit, passing through moderation, subscription, security etc...
|

Access to a folder can be granted according to roles or, you can grant rights to
specific users. Access rights are cumulative, so a user will always have the sum
of all the rights granted to its role(s) or specific user rights.
Access rights can also be inherited from the parent folders (this is the default
behavior).
To aid in the selection of a user, you'll be able to browse and select users from
a list.

As seen in the previous feature, access rights are given at folder level, and can
affect the entire folder as well as all the documents contained in the folder.
The rights that can be granted are the following:
Rights that apply to Folders
- View: view the folder and its contents
- Add: add a folder and documents to it
- Edit: edit folder settings such as folder name and position in the hierarchy
(but not security settings)
- Delete: delete a folder
- Edit Security: edit folder settings as well as security and access rights
- Enable Track: this setting enables the specified role/user to track changes
in a specific folder. Every time a document changes (is re-uploaded with the same
name) or a brand new document is uploaded, all subscribed users will be notified
through email.
- Enable Moderate: this setting designates the folder as a moderated folder
and the specified role/user as a moderator(s). Every time a document change occurs
on a moderated folder, it will not be published until a moderator reviews and approves
the document. Moderators are alerted by email.
Rights that apply to all Documents in the folder
- Add: add a document or the ability to unzip a .zip package containing documents
and folders. Selecting this right will automatically enable folder creation as well.
- Edit: edit document metadata and what folder the document is in, as well
as create and view versions. With this right, a document can also be deleted.
- Enable Track: this setting enables the specified role/user to track changes
in a specific document. Every time the document changes (is re-uploaded with the
same name), all subscribed users will be notified through email

This implementation of Open-DocumentLibrary offers powerful WebDav capabilities
such as editing and saving a document, directly on the server where it is stored.
To use this option, it is required that the folder be setup as a WebDav folder on
the server.
Once the folder is properly setup, you will be able to Edit any type of editable
content, as long as the client application supports WebDav. It does NOT require any client browser setup
such as enabling ActiveX, so it does not pose any security risk to your client browser.
Please Note: this implementation is a step closer to creating a
fully automated WebDav server that will not require any setup on the server. Also,
changes made to the content of the documents using webDav will not go through the
moderation process.
Important: WebDav has been reported to not work correctly on Windows Vista clients using Office 2007.

If not using WebDav, you will still have the option to open the document or save
it to your hard disk. However, any changes you make to the document will be local,
and you will need to re-upload the document if you want the changes to be online.
In this modality, all changes are subject to moderation and versioning if those
options are enabled.
|
|
|
|

The two above options are for document content editing. Editing document metadata
(such as document name, description, categories the document belongs to, parent
folder etc...) is implemented with the administrator in mind.
This administrative interface is implemented using Ajax and reduces unnecessary
clicks and slow response times.
The description field uses a WYSIWYG editor (IE only, in FF it will default to a
textbox).

There are a number of attributes (metadata) that can be associated with each document.
All of these attributes can be shown or hidden as the two images show.
List of attributes that can be shown/hidden
- Document Name
- Document Icon
- Document Description
- Document Size
- Document first Upload info
- Document last Modification info

Documents can be tracked individually. Every time a document change occurs, a notification
message will be sent.
The user that is interested in tracking a document, will click on the gray envelope
icon next to the download icon. The gray envelope will change color, indicating
that tracking for that document is enabled.
The user will have access to a "documents tracked" area, where a list of all tracked
documents will appear, as shown in the following images of this section.

Documents can be tracked at folder level. Every time a document change occurs, a
notification message will be sent. A notification will also be sent every time a
new document is uploaded.
The user that is interested in tracking a document, will click on the gray envelope
icon at the top of the tracking column. All gray envelopes for all documents in
the folder will change color, indicating that tracking for all documents is enabled.
Individual documents can be excluded.
The user will have access to a "documents tracked" area, where a list of all tracked
documents will appear, as shown in the following images of this section.

This area allows users that are tracking documents to review all (also filtering
by folder) the documents that are being tracked.
In this same area, they can unsubscribe from the document and disable tracking.
It is reachable to authorized users, through the tools menu at the top of the folder
tree.

Statistics are an essential tool when analyzing user behavior as well as areas (folders
or categories) that interest users. O-DL offers an advanced statistics center reachable
to authorized users, through the tools menu on top of the folder tree.
|

See document download statistics and filter by folder, users, dates downloaded etc...
Upon entering this area, you will be shown a summary of all documents downloaded
with the number of downloads received.
Clicking on the looking glass, will show the details of the document of interest,
showing download dates, user names etc...
|

Statistics by folders will show information about folder clicks. It works in the
same way that statistics by Documents work.
This area gives aggregate information about user areas of interest, rather than
actual downloads of documents.

Document moderation provides a powerful workflow mechanism that ensures that all
content posted will be reviewed and approved before being published.
Moderation is assigned on every folder (can be inherited), so you can combine unmoderated
and moderated folders.
Moderators are designated through the folder settings area, and can belong to entire
roles or a specific user.
By selecting a role or user to moderate the folder, the folders content will automatically
have to reviewed in order to be published.
Moderators will receive an email notification every time content needs to be moderated,
and will be able to access the moderation area through the tools menu on top of
the folder tree.
Upon entering the moderation area, the moderator will see a color coded list of
documents that need action. Clicking on the document details, will open the details
view of the document, where the moderator will be able to take the appropriate action.
Documents can be:
- Sent to be Revised If the moderator does not approve the document, he/she
can send the document for revision. Automatically, the person that changed the document
will receive an email, alerting that his/her document needs rework. There is a special
area under moderation where only the documents that belong to the user will be listed.
- Rejected Moderators can reject a document permanently. In that case, the
user will be notified through email that the document has not been accepted and
cannot be updated further.
- Accepted Moderators can accept document changes, and publish the document.
In that case, the owner of the document will be alerted, as well as all users that
Track [subscribe] to the document.
- Update and SaveModerators can also choose to update the document themselves,
and or save it for later processing, without affecting the workflow.
In general, a user that is a moderator, cannot moderate its own documents. There
is an exception made for SupeUsers and Admins.
|

Versioning a document allows you to keep an historical record of the document content before a change is applied.
|
|
|
|
|

Versioning allows you to save versions of the documents and restore them on demand.
Versioning is automatic when you upload files in the same folder and with the same
name. You can also opt to create a version manually, or to turn versioning off.
When a document is versioned, you will be able to access the versions of the document
and see a chronological list, by clicking on the diskette icon that appears next
to the document in the list, or in the document's edit area.
If needed, you can
restore an old version or simply re-download it.
|

Open-DocumentLibrary has many ways to store data that will help protect your content and ensure that the library is always updated.
|
|
|
|
|

To overcome the ASP.NET platform's 200 MB upload limitations, we have included new functionality that will allow you to upload files up to 2 GB in size, with minimal memory footprint.
Huge Uploads also include a progress bar that will show the upload progress graphically in real time.
Once you enable Huge Uploads through the module settings panel, all the appropriate changes to the configuration will be made automatically for you.
Note: Huge Uploads do work on all Windows operating systems. Including Windows 2008 and IIS 7. They do require full trust (DNN is set to Medium Trust by default), thus, if you do choose to use huge uploads, you should make sure you have full trust
capabilities on your server (most hosting providers do).

You can opt to create your Document Library from scratch, or to create it from a
pre-existing folder structure. Just point the library to the folder that contains
all of your sub-folders and documents, and the module will do the rest.
|
|
|
-
If you prefer to normally upload files through FTP, and would like Open-DocumentLibrary to be constantly updated,
you also have the option to schedule a synchronization task, that will always keep the library updated.
The Synchronization task is run through the standard DNN scheduled task (under the Host/Schedule menu).
You will find that the task is configurable as far as frequency. By default, it needs to be enabled to run the first time.
|
|
|
|
|

All files can be protected from direct download. This is achieved by renaming all
files contained in the library to an extension that is not directly accessible through
a browser. The process is transparent to the user and/or administrator.
|
|
|
|
|
-
If files are not secured against direct download, you can also point to them directly
from regular links in your DNN pages.
|
|
|
|
|
-
The administrator can decide what extensions to explicitly allow for upload. By
default, all file types are allowed.
|
|
|
|
|
-
Folders can be created under the home directory of the portal (the same used by
the DNN file manager) or another location on the hard disk, as well as a UNC Share,
as long as the appropriate rights are granted to the ASP.NET/Network Services user.
The UNC Share option is ideal for Web Farms, where there is a centralized repository
of files, and all instances of the library point to the same share.
|

|
|
|
|
Open-DocumentLibrary integrates with the DNN search function. A search will automatically
look for the query terms in the title and the description of the documents stored
in the library.
The limitations are:
- Only metadata is searchable (indexed content includes document name and document
description)
- DNN search does not take into consideration user view rights. So, you may get search
results that you are not allowed to see. If you click on them, the normal O-DL security
process will work, and you will not be able to see the document.
- The search results, once clicked, will bring you to the page and folder where the
document is. (the equivalent of clicking on a folder to see its contents). The search
results will not open the document for you.
|

|
|
|

One of the side benefits of implementing ISearchable (the interface that allows
the module to be searchable by the DNN Search engine), is the ability to syndicate
the documents managed through O-DL.
You do not have to do anything special to enable this feature. Once DNN Search Participation
is enabled in O-DL settings, automatically, the documents will be available for
RSS subscription.
|

Change the way data is presented and what data is presented, according to your specific needs. |
|
|

By default Open-DocumentLibrary presents itself in a way similar to the familiar
Windows Explorer interface. However, its context menus offer specialized and powerful
options that allow the user with the appropriate roles to create, edit, delete,
administer security and upload documents of every folder and/or category.
|
|
|
|
-
By default, all folders under the library root folder are displayed. However, each
instance of the module can designate its own virtual root, by pointing to any folder
in the folder hierarchy. The new virtual root (and all of its sub-folders) will
then become the new root.
This can be accomplished either through an option in the settings, or through a
parameter in the URL. This allows you to link to the page where the library is located,
from another page, and direct the user only to those folders that you want them
to see for a particular purpose.
If you eliminate the parameter in the URL, the user will revert back to seeing all
folders that he/she has view rights on.
|

|
|

Allows you to designate folders as invisible unless accessed directly through a
URL.
These types of folders are subject to the same security restriction that you configure
for all folders, except that they will not appear in the folder hierarchical tree,
unless you access them directly.
In addition, you can further protect these folders by requiring a password [aka
Access Key] to be specified in the URL.

You may not always want to show a tree like navigation construct to access the documents.
You will be able to display all documents contained in a folder (and all its sub-folders)
at once, by selecting the appropriate options in the modules settings.
|

You have full control over the look and feel of your module. Open-DocumentLibrary
offers a number of easy, flexible ways to customize the look and feel of your application.
|
|

We have created templates that allow you to change the disposition of almost every
element of the module.
Additionally, we periodically add new layouts.
The latest layout created is a multimedia one, that is specifically targeted to those users that want to convert Open-DocumentLibrary in a media gallery.
You can choose to have the document information display as a column grid (default
mode) or in a compact mode, where there is only one column, and all information
is arranged vertically.
These are only the provided options, you can always create
your own.

Aside from the layout of the module you can always change its style. Not only that,
we have made it so flexible that each style can and does have its own iconsets.
The styles supplied with the default installation range from the classical look
to a modern Web2.0 look and feel.
|
|

Another way to change the look and feel of your library is tightly coupled with
the data that you want to display. Virtually all metadata about the document can
be shown or hidden.
Additionally, the navigation tree can be hidden completely, or its folders be preceded
by the plus or minus sign or a simple arrow indicator.

All administrative functionality has been designed to be responsive and easy to
use. For this reason, Adding a folder/category, editing deleting and uploading is
all ajax enabled. There are no unnecessary clicks or page refresh. If you are going
to use the application, you will appreciate the emphasis we placed on power, simplicity,
usability and speed.

Just like in Windows Explorer, an authorized user can drag & drop Folders around
in order to change their place in the hierarchy.
Thanks to the use of Ajax, these changes will be reflected immediately in your library.

Context Menus are just a [right click] away.
Access to all folder administrative functionality is granted through context menus.
According to the rights that the user has, the context menu can allow to: Add, Edit,
Delete folders, as well as Upload documents to it.
All actions triggered by the context menus are Ajax enabled. As a result, Adding,
Editing, Deleting or Uploading a document will be very user friendly, fast and require
very few steps.

I LOVE this module when roping back DNN to enable it to work.
I HATE this module for having to rope back DNN to get it to work - "Note: When running on DNN4.x, you will need to disable advanced performance settings such as compression and/or viewstate in memory caching."
Disable compression? Please urge an AJAX update on this module to make it insanely great.

We tested many modules from different companies for realizing a document management system within our web-portal based on DNN. This was the only one which gave us the necessary flexibility and was stable of handling our 150 customers each about 200 persons with many documents in it. The support is EXTREM professional - perfect response, even a conference call for 40 minutes was not a problem handling some dissusions about thumbnail view and SSL-certificates. We can recommend any person and any company who are searching a professional document managing system under DNN. SIMPLE PERFECT!!

The user interface is nice, simple & clean.
I do have a couple of improvements I'd like to see in upcoming versions. First, I'd like to see notification capability added so that users can subscribe or be subcribed to the entire library so that there are notified when new documents are added. Also, I'd like to see the category feature improved. I'd like to be able to categorize folders rather than just documents. And lastly, I'd like to see the versioning capability improved. Right now versioning only kicks in for documents with the same name. We include the version in the name of the file and this prevents it from being added as a verison. Also, rather than having the system automatically determine if a new version is being added, why not let the user decide what is considered a new version, regardless of the file. You system tries to do this for me but it isn't as smart as me. I know when I've got a new version and it's

This is the perfect balance between ease of use and functionality and all at a good price. I have tried many others but get complaints from clients that they are too difficult for new users to figure out.
Being able to pre-build your file and folder structure then just point Open-DocumentLibrary at it once it has been uploaded to you site makes it even easier for initial setup of large libraries.
The user manual is clear and to the point. I installed the app, sent the client the user manual and all was good.

If your users know Windows File Explorer, they will be right at home with this module. Install and setup was a breeze. Support was prompt and excellent. Some of the great features are: (1) granular security settings for folder/files, (2) integrated metadata into DNN CORE search (3) integrated AJAX to minimize page refresh. I hope future release will have improved content search of MS Office and PDF files. It will also be nice if the vendor has a support forum for customers to report issues or request enhancements. My rating is 4.5 which is rounded up to 5 (:

Hello,
the PA version is shorthand for Private Assembly, that in the DNN ecosystem corresponds to a standard executable version. This means that you get a module that you can install and use according to the license terms. Other versions, such as the source version, offer the source as well. The PA version is the cheapest and the version of choice for most users.

the PA license allows the module to be installed on a portal that is reacheable by a single domain name (and unlimited subdomains or subportals).
The Server license removes this restriction as long as all domains point to teh same physical server.

I'm wondering if your product includes the concept of "versioning", where edits or subsequent uploads of existing files will first archive the old version, while making the most recent version available for download. Open-DocumentLibrary implements versioning.
Versioning is enabled in the module settings, and every time a document is uploaded in a library folder, with the same name of an existing document, a new version is created. The latest uploaded version bicomes then the downloadable version.
Versioning history is kept in a separate folder (a physical copy of every document version), and there is a control panel through which older versions can be viewed and restored if necessary.
New versions can also be created manually by clicking on a versioning icon. The modification of the metadata (such as document description) will not create a new version automatically, but in the same screen, a manual version can be created.

is there any sort of limit on file types, can I allow users to post any file types I feel like, besides document type files, videos, and image type files. Also can I restrict certain file types, and lastly, does this module have a satellite user mode type module that will work based on a querystring id value to to display user files inside profile modules like Active Social? Hello, by default, the module allows all file types to be uploaded (the document library really acts as a file repository, with teh difference that for certain recognized file types, it offers additional utilities like in teh case of media files, where they can be displayed as thumbnails or played as a movie). The administrator can however add a list of extensions that are not allowed through the module's settings.
There are no satellite modules such as the one you describe. You can get and create links that will link directly to a folder in the library (in the folder settings you will find such a direct link).

Hello, yes, the module will work with medium trust. Full trust is only needed when Huge Uploads are enabled. Thus, as you suggested, by disabling Huge Uploads (huge uploads are disabled by default), you can use Medium trust and have the module work as expected.

Will this module allow us to specify documents and folders for a project and allow them to be "checked-in" and "checked-out" by users in a table? The user would likely want to upload or download whole folders at once - or do files individually.

thank you for your interest.
You can specify folders to be visible by specific users or roles. Thus, if you define a role for each project, then users in that role will only see the folder that corresponds to the proper role.
There is no chec-out check-in mechanism, but there is a moderation workflow that blocks documents from being edited while being modified by another user.
You can upload files individually, or entire directories and subdirectories, as long as you place them in a .zip file. Alternatively, you could upload folders/files through FTP and then automatically synchronize the UI with teh built-in scheduled task.
We recommend you download and try the trial version, so that you may see tehse features first hand. The blog on www.opendnn.com also has interesting articles on how to configure moderation(workflow).

If you install the module on DNN4 and then upgrade to DNN5, you should not need to reinstall. If you chose to reinstall anyways, you would not lose any settings nor information in the library.

I want my subscribers to be able to upload documents to a folder in a directory on my server. This subscriber-specific folder needs to be created for them specifically based on information gathered from them. I do not want the documents stored in a database. After processing, a report file will be placed in the subscriber's folder. I want the subscriber to be notified by email that the report is available. The the subscriber can download the report from the folder. Can O-DL work in this scenario? Do you have an emailer which works with O-DL? THANKS--your product looks very exciting!

I believe that O-DL can accommodate your requirements. Here is how.
1. User specific folders: Under the root folder, you can create as many folders as necessary. Then you can give each folder access rights to only one user or one role. Thus, even though as admin you will see all folders, a regular user would see only the root folder and its own folder (remember to give the root folder view rights to everyone).
2. New doc notifications: While giving access rights to a user to a specific folder, also tick the Track option on that folder. This option will give users the ability to subscribe to the folder (by clicking on the envelope icon in their view), and thus receive an email every time new content is uploaded through the UI.
I strongly suggest you download and try the trial version, following teh above recommendations.

Open-DocumentLibrary can operate under SSL.
Additionally, documents in O-DL are downloadable under a two tear system, that verifies user permissions and never gives access to the actual document directly. Even if a user were to determine the direct path to a document, files can be further secured against direct download, by activating the secure files option, which would change the extension of all files to an non downloadable extension, that only O-DL would be able to process and serve.
The notification portion of your requirement can be satisfied by the tracking option in the Security section of every folder. Enabling tracking on a particular role or user, will give those users / roles, the ability to switch on folder tracking, that will notify them every time a document is edited or added to the folder.

One purpose I would like to use ODL for is to store PDF or Crystal reports version of reports for users. I would like to save these outputs to a server directory with a fill structure in place already:
Sales - Flash Report - 'Each Report'
Sales - Top Seller - 'Each Report'
Can ODL read the directories and files and create that structure within the application? Or would I have to create the folder structure within ODL and upload the reports? Is there a batch script to run to load?

Hello,
O-DL has an import feature that allows you to import the contents of pre-built file structures like in the case you describe. Additionally, the root folder of your pre-built filde structure will become the root folder of O-DL (by selecting the UNC Share option).
After the first load, you will be able to maintain the Physical folders and the O-DL view of those folders synchronized, by setting-up the synchronization scheduled task that is built-in O-DL3.1 and higher. The scheduled task is activated and configured through the host/schedule menu, like any other DNN scheduled task.

the answer is yes, and here is the background on the module's functionality:
Open-DocumentLibrary is meant to be a global repository of files. This means that all instances of the module, regardless of the page they are on, will share the same folder structures and files therein contained by design, unless you set it up otherwise.
Each instance can be personalized to start displaying folders from a specific folder root, that does not have to be the global root. Thus, each page, could have its own "Virtual Root" that can be a subfolder of the global strucrture.
The advantage of this proposition is that an administrator can manage files globally, and the users can be shown only the files relevant to the specific instance of the module they are allowed access to.
The same can be accomplished through the use of viewing rights, but the "Virtual Root" adds the advantage that parent folders will not be seen at all, and that each instance of the module will have its own starting folder.

yes, Open-DocumentLibrary can secure files in various ways. You can restrict file access through the asignation of access rights to certain roles and/or users, and, you can additionally secure files from direct download, by selecting the "secure files" option in the module settings. This option will rename the files to an extension that is not served by the web server, thus making it impossible for unauthorized users to download the files, unless they go through the User Interface.

Below are the answers to your questions:
1) Yes, there are various ways in which this can be accomplished. The owner's manual has details on how to set this up, but here are the general capabilities:
1a) you could designate a folder as viewable by that user only. Automatically, the folder will be invisible to all users that are not the selected user.
1b) you could also hide a folder, and make it accessible by direct URL only, and additionally, protect it with a password that would have to be passed through the url. This solution is desireable when you want to send links to the folders through emails.
2) Yes, please see solution 1b) above.
3) Not yet, but it is one of the features that we will be considering for future releases. In the meantime, O-DL does provide the option to save files in a UNC share on the network.
